I

Name

The name of the organisation shall be known as Klassik Royalz Club (hereinafter referred to as "the Club").

II

Purpose and Objectives

The Club is established as a social and mutual support organisation within the United Kingdom. Its objectives are to:

  • Promote unity, loyalty, and strong interpersonal relationships among members;
  • Provide structured support during significant life events;
  • Establish a disciplined and well-organised network of individuals;
  • Develop and implement initiatives, including community or charitable projects, where appropriate.

Membership

3.1 Eligibility

Membership shall be open to individuals who:

  • Are at least twenty-one (21) years of age; and
  • Are known to, or formally referred by, an existing member of the Club.
3.2 Membership Capacity

The Club shall consist of a maximum of thirty-one (31) active members. Once full capacity is reached, prospective members shall be placed on a waiting list for a period of three (3) months. Siblings of existing members shall be eligible to join, subject to capacity.

3.3 Membership Review

Membership shall be reviewed every three (3) months. Members may elect to continue or withdraw their membership. Vacancies shall be offered to individuals on the waiting list.

3.4 Membership Commitment

Membership is voluntary; however, all members are expected to demonstrate commitment, consistency, and active participation. Members shall contribute meaningfully to the activities and objectives of the Club.

3.5 Termination of Membership

A member may be removed from the Club on any of the following grounds:

  • Failure to meet financial obligations without valid reason;
  • Persistent inactivity;
  • Misconduct or disrespectful conduct;
  • Actions contrary to the values of the Club.

Disciplinary Process:

  • Verbal warning
  • Written warning
  • Final decision by majority vote

Where the member is part of the Executive Team, a formal discussion shall first be held with the Executive Board and Welfare Team. The same disciplinary process shall apply to ensure fairness and equality.

3.6 Exit Policy

Members who voluntarily withdraw after a period of three (3) years or more may be eligible to receive up to twenty percent (20%) of their eligible contributions, subject to review based on duration and level of participation.

Leadership Structure

The governance of the Club shall be vested in the Executive Committee, comprising the following roles:

  • President
  • Chairperson
  • Vice Chairperson
  • Head of Administration
  • Head of Operations
  • Head of Welfare
  • Head of Finance
  • Lead Organizer

Roles and Responsibilities

  • Administration: Responsible for meetings, communication, and coordination
  • Operations: Oversees execution of plans, logistics, and activities
  • Finance: Manages funds, records, and financial reporting
  • Welfare: Oversees member welfare and support cases
  • Leadership Team (President/Chair/Vice Chair): Responsible for oversight, discipline, decision-making, and conflict resolution

Contributions and Dues

6.1 Registration Fees
  • Existing members shall pay a £25 commitment fee
  • New members shall pay a one-time registration fee of £50 (subject to annual review)
6.2 Monthly Contributions

Members shall contribute £10 per month. Payment may be made monthly, quarterly, biannually, or annually.

6.3 Contribution Period

The contribution cycle shall run on yearly calendar from month its begins.

6.4 Compliance

Members are expected to maintain consistent contributions. Failure to do so may affect eligibility for welfare support.

Financial Governance

  • All funds shall be properly recorded and maintained with full transparency
  • The Finance Team shall provide quarterly financial reports
  • A minimum of two authorized signatories (the President and one Executive member) shall approve withdrawals
  • Any expenditure exceeding £500 shall require majority approval of members

Welfare and Support System

8.1 General Principles
  • Welfare contributions are separate from regular dues and registration fees
  • Contributions are event-based and not drawn from savings
  • The beneficiary of support shall not contribute to their own case
  • A six (6) week collection period applies

Multiple Bereavements:

Where multiple bereavements occur simultaneously:

  • The Welfare Team shall engage affected members
  • Cases shall be handled in the order reported
  • Subsequent cases may be deferred
8.2 Bereavement Support

In the event of bereavement involving a member's close family member:

  • A fixed total of £1,000 shall be raised
  • Contributions shall be shared equally among members
  • The Finance Team shall coordinate collection

Conditions:

  • Completion within six (6) weeks
  • The affected member shall not contribute
8.3 Beneficiaries and Limits

Each member shall nominate up to two (2) beneficiaries. These beneficiaries qualify for the full bereavement support. In the case of additional bereavements: the fixed amount shall not apply; contributions shall be voluntary; a formal claim process shall be conducted through the Welfare and Finance Teams, and supporting evidence may be required.

8.4 Major Life Events

For events such as weddings where the Club is invited: the Club shall attend and present a gift as a demonstration of unity and support.

8.5 Birthdays

A fixed amount of £250 shall be presented. Members shall contribute £10 each. Any excess funds shall be retained by the Club.

8.6 Financial Hardship

Members facing financial difficulty may contact the Finance Team confidentially and receive voluntary, anonymous support.

8.7 Death of a Member

In the event of the death of a member:

Support Structure:

  • £1,500 raised from members
  • £500 from Club savings
  • Total Support: £2,000 payable to the member's immediate family

This shall take priority over all other financial commitments.

Meetings

  • Meetings shall be held via approved platforms or in person
  • Members are expected to attend where reasonably possible
  • Meetings shall occur at least once every six (6) weeks
  • Emergency meetings may be convened as required

Participation

Members shall:

  • Actively participate in Club activities
  • Contribute ideas and effort
  • Support fellow members

Decision-Making

  • Decisions shall be made by a simple majority (over 50%)
  • Major financial decisions require full member involvement
  • Leadership may act in urgent situations, subject to review

Discipline and Conduct

Members shall:

  • Maintain respect at all times
  • Avoid gossip and misconduct
  • Communicate responsibly

Disciplinary actions include:

  • Warning
  • Suspension
  • Removal by vote

Investment Policy

  • Funds may be invested in low-risk opportunities in the future
  • All investments require member approval
  • Full transparency shall be maintained

Communication Rules

  • Official communication shall be conducted via approved platforms
  • Content must relate to Club matters
  • Messages shall be reviewed and approved by the Admin Team prior to posting
XVI

Amendments

This Constitution may be amended by a two-thirds (2/3) majority vote of the membership.

XVII

Adoption

This Constitution is hereby adopted as the official and binding governing document of the Klassik Royalz Club, having been reviewed, accepted, and agreed upon by all members of the Club. It shall remain in full force and effect unless and until amended in accordance with the provisions set out herein. This Constitution shall take effect immediately upon signature and shall be formally endorsed by the President on behalf of the Club as confirmation of its adoption.
